NIZU Sign best practices
Send the final version. Once a document is sent it cannot change. If something changes, cancel the signing and send a new version.
Put a signature field for everyone who signs on the page where the signature belongs, usually at the end. Add a date field next to it: it fills itself in on the day of signing.
Use "one after the other" when the order matters (for example: the client signs first, then your director). Use "everyone at the same time" when it does not.
Use the right role. People who only need to be informed get Only gets the signed copy; a manager who must agree without signing gets Approves it.
Turn on Authenticator 2FA so your team and your clients can sign inside NIZU.
Write a short message. A sentence explaining what the document is gets it signed faster.
Keep the default reminders (every 3 days). Most documents are signed after the first reminder.
Save documents you send often as templates. The fields stay in place; you only choose the people.
Keep the certificate of completion with the signed PDF. It is your proof of who signed, when and how.
Check, do not trust. When someone sends you back a "signed" PDF, open the check page and choose the file: only an unchanged document shows as genuine.
Know when you need more. Simple electronic signatures cover most business documents. Deeds that the law requires to be signed with a qualified signature need a qualified provider.
