How to use NIZU Sign
From a PDF to a signed document with its certificate, in six steps.
1. Start a document
Open Documents to sign in the left menu.
Click Send a document at the top right.
Type what you are sending (for example "Service agreement 2026") and click Create and continue.
The document opens in four steps: Document, Who signs, Where to sign, Review.
2. Add the PDF
In Document, click Choose a PDF or drop the file (up to 25 MB).
Optionally write a message for the signers, choose who signs first and the date to sign before.
NIZU Sign keeps a clean copy: anything that could run inside the file is removed, the pages stay exactly as they are.
3. Choose who signs
In Who signs, click Add a person.
Choose Someone outside NIZU (name and email), A contact of one of my clients or A member of my team.
Choose the role: Signs the document, Approves it or Only gets the signed copy.
With "one after the other", use the arrows to set the order.
4. Place the fields
In Where to sign, choose the person, then the field: Signature, Initials, Date signed, Text or Checkbox.
Click on the page where it goes. Drag it to move it, drag its corner to resize it.
Everything is saved as you go. Everyone who signs needs at least one signature field.
5. Review and send
In Review, every line of the list must be ticked. Click Send for signature: whoever signs first gets an email right away. You can also Save as template to send the same document again later with only the people to choose.
6. Follow it
Click the document in the list to see who has signed, who it is waiting for, and the full history. You can Remind now or Cancel the signing. When everyone has signed, everyone involved receives the signed PDF and the certificate of completion by email, and you can download them from the same page.
Sending a contract, proposal or estimate
When it is switched on in Settings → NIZU Sign, a NIZU Sign card appears on the contract, proposal or estimate page. Click Send for signature: the document is prepared from that page with the client's main contact and a signature at the end. Check it and send. When everyone has signed, the record is marked as accepted.
What signers see
People outside NIZU open the link in the email, enter the 6-digit code sent to them, read the document to the end, fill in their fields, draw or type their signature, tick that they agree and click Sign the document. They can also decline with a reason. Team members and clients find the document under Documents to sign and confirm with their authenticator app.
Checking a signed PDF
The file stays on your device: only its fingerprint is compared.
Anyone can open your-workspace/nizusign/verify and choose a PDF: NIZU Sign tells whether it is exactly the signed document (or certificate) it produced, whether the history is intact and whether the timestamp is valid. The certificate of completion contains the direct link.
