Notifications
The Notifications tab decides who hears about what, when, and how. Each notification reads as a sentence on the left; click one to change it, or click New notification.
1. When
A record is created, changes or is deleted.
Only if… a field is, is not, changes to, is empty or is filled in for example only when the status changes to Shipped.
A number of days before or after a date of the record (a reminder).
Someone presses a button on the record.
2. Who gets it
Team: whoever created the record, the admins, the person in a team-member field, chosen people, whole teams, or everyone with a role.
Clients: the record's own client (an App in the client portal) or the client in a field its main contact or all its contacts.
Leads: the lead in a field its main contact or all its contacts.
Guests: the address or number in an email or phone field of the record, or addresses and numbers you type in.
3. How
Email, through the workspace's email settings; a designed document can be attached as a PDF.
Bell, the NIZU notifications of team members and client contacts.
Telegram, for people who linked their Telegram through Marvin.
WhatsApp, for people who agreed to receive WhatsApp messages, and for guest numbers through the workspace's WhatsApp connection.
Channels this workspace is not connected to are greyed out. When a channel cannot reach someone (no email address, Telegram not linked…), it is skipped for them and the reason is logged.
4. What it says
A subject (for email) and a message. Use Insert a field to write a field of the record, or a setting of the App (marked ⚙), for example Your order {ref_no} is on its way.
Preview, test, save
Preview fills in the message from the newest record and shows who it would reach.
Send a test to me sends it to you only, marked [Test], through each of its channels.
Save keeps it in your draft; it starts working once the App is published.
Safeguards
Emails to leads and guests end with a Stop these emails link. Whoever clicks it receives no more emails from this App.
Each notification has a daily limit (200 by default), a safety net against a loop or a big import.
What was sent, at the bottom of the tab, lists every message: to whom, how, and whether it went out or why not. Each record's History shows them too.
Run by the App's administrators
On the App's own Settings page, its administrators can switch each notification on or off, add people, teams and roles of their team, use their own wording and change the daily limit without touching the design.
