How to use Sales Commission
This guide walks you through the app from setup to payout. The admin area is organised
into tabs — Sales Teams, Commission Programs, Referrals, Objectives, Badges, Payouts and
Settings — and sales reps get their own "My commissions", "My team" and "Reports" pages.
Open the app from the Sales Commission item in the left menu.
Step 1 — Create a sales team
- Open Sales Commission and stay on the Sales Teams tab.
- Click Add team, give it a name, an optional description and a colour, then save.
- Open the team and click Add member to add staff. Set each person's role to Member or Manager.
Note: each user can belong to only one sales team. People already in a team are hidden
from the "add member" list.
Step 2 — Set up a commission program
- Go to the Commission Programs tab and click Add program.
- Choose the Trigger that earns the commission:
- Subscription purchase / renewal
- Invoice paid
- Item sold
- Manual entry
- Choose the Calculation: a percentage of the sale (for example 10 for 10%) or a flat amount per sale.
- Under Applies to teams, pick the teams the program covers — leave it empty to apply to all sales teams.
- Make sure the program is Active and save.
Step 3 — Share referral links
- Open the Referrals tab and click Generate token for a team member (or open the rep's staff profile and use the Referral link tab).
- Copy the link or download the QR code and share it.
- When a visitor signs up through that link, the new client is automatically assigned to the rep as owner, and the Clicks and Sign-ups counters update.
Step 4 — Set objectives
- Go to the Objectives tab and click Add objective.
- Choose the Scope — a single sales rep or a whole team.
- Pick the Period type (weekly, monthly, quarterly or yearly); the end date is calculated for you.
- Choose what to measure — number of recorded sales, sum of sale amounts, or sum of commission amounts — and set the target value.
- Save. Progress is tracked automatically as commissions are recorded.
Step 5 — Let commissions record themselves (or add them manually)
Once programs are active, commissions are created automatically:
- When an invoice for a subscription is created, a subscription purchase commission is recorded.
- When a payment is registered against an invoice, an invoice paid commission is recorded.
To add one by hand, use Record commission on the Objectives tab. You
choose the sales rep, one of their clients, and an invoice belonging to that client — a
commission always needs a real client and invoice.
Step 6 — Review and approve commissions
Every commission has a status: Pending, Approved,
Paid or Rejected. Review new commissions and
Approve the ones that qualify (or Reject those that do
not). Only approved commissions can be included in a payout.
Step 7 — Create a payout
- Go to the Payouts tab and click Create payout.
- Select a sales rep — the app lists their approved commissions.
- Tick the commissions to include; the selected total updates as you go.
- Optionally attach an invoice or supporting documents, then save.
Saving the payout marks the selected commissions as Paid and records a
linked expense using the default expense category from Settings. Deleting
a payout reverts its commissions back to Approved.
Step 8 — Award badges
- Open the Badges tab and click Add badge.
- Give it a name, a FontAwesome icon and colour, and choose the criteria — linked to an objective, a lifetime number of commissions, or a lifetime commission amount.
- Click Recalculate all to scan every rep and award any badges they now qualify for.
Step 9 — Read the reports
Open the Reports page from the left menu to see total sales, total
commissions, the number of commissions, the top performer and how many objectives are on
track. You can filter by date range and drill into performance by team and by sales rep.
What sales reps see
- My commissions — a personal list of every commission credited to the rep, with totals for earned, pending and paid amounts.
- My team — how teammates are performing and progress toward the team's active objective.
- Referral link — their personal link and QR code on their profile.
