An administrator sets up Estimates once for the whole workspace: how they are numbered and look, what the client can do with them, and who in the team can see or change them.
| Setting | What it does |
|---|---|
| Estimate prefix | Text in front of the number, for example "ESTIMATE #" or "QUOTE-". |
| Estimate Color | Colour of the estimate layout. When empty, the invoice colour is used. |
| When sending estimate to client, send BCC to | An address that receives a copy of every estimate you send, for example your sales mailbox. |
| Initial number of the estimate | Start numbering from a higher number. It must be larger than the last estimate number. |
| Estimate Footer | Text printed at the bottom of every estimate PDF: bank details, legal mentions, terms. |
| Create new projects automatically when estimates gets accepted | Starts a project for each accepted estimate. See Turn an accepted estimate into an invoice or a project. |
| Enable comments on estimates | You and your client can discuss the estimate on its page. |
| Show most recent estimate comments at the top | Newest comments first. |
| Add signature option on accepting estimate | The client must draw a signature to accept. |
| Enable lock state | An accepted estimate can no longer be edited. Cloning it still works. |
The texts of the e-mails are in Settings → Email templates: Estimate sent, Estimate accepted, Estimate rejected, Estimate commented and Estimate request received. Each one can be translated per language. Who is notified is set in Settings → Notifications.
In Team → Roles, the question Can access estimates? has these answers:
The same answer applies to estimate requests. Administrators can always do everything. "View" roles open the estimate read-only.
Clients see their estimates in the portal under Estimates, never the drafts. You can hide the menu for everyone in Settings → Client portal → Client permissions (Hide menus from client portal), or per contact with their access rights.
To switch the whole module on or off: Settings → Modules → Estimate and Estimate Request.
