Pick lists
A pick list is a picking document: it tells a picker exactly what to take from the shelves, which items, how many, and from which folder (location). The picker ticks each line off at the shelf, and the stock goes down at that moment, line by line. A pick list can be made for a job: tools on it are then checked out to that job instead of taken out of stock for good, so you always know which tools are out and with whom. Use it for kitting material for a repair or cleaning job, issuing spare parts to the workshop, or picking goods for an order.
Where to find it: Workspace → Logistics → Inventory → Pick lists. It only appears when the Inventory module is switched on in Warehouse settings.

Move stock, pick lists and jobs (part of Gate in and out, move units, fill and empty tanks)
Where it sits in the operation
A pick list sits between a demand (a job, a workshop request, an order) and the stock. Creating it reserves nothing: stock is only checked and reduced when a line is picked. Each pick writes one line to the inventory ledger, so the item's History shows exactly which pick list, or which job, took the stock.
Figure 1 A pick list stays To pick until its last line is picked, then closes itself. Every pick is a ledger line: a Taken out for goods and parts, a Checked out to the job for tools.
What you see
New pick list sits at the top right. The list shows every pick list, newest first.
Column
What it shows
Pick list
The name. Click it to open the pick page.
Picked
Lines fully picked out of all lines, for example 3 / 5.
Assigned to
Who should pick.
Job
The job it is for, if any.
Status
To pick, Done or Cancelled.
When
The day it was made.
Several pick lists at once. Select rows to get the selection menu: Give them to one person, or Cancel them (open ones). Only open lists change; finished ones keep their history.
Create a pick list
Click New pick list.
Optional: a Name (for example the job or order reference). Empty gives "Pick list" and today's date.
Optional: Assigned to (the picker) and For a job (only open jobs are listed).
Under What to pick, choose an item and type the quantity. The item picker shows each item's SKU and how many are in stock. Use Add a line for more items; the bin icon removes a line.
Optional: a Note.
Click Create the pick list. The pick page opens.
Pick
Open the pick list. The page says "Take each item from its folder and tick it off. Stock goes down as you pick." The header shows the status, the job and the picker, and the number of lines picked.
Each line shows the item, its folder, its SKU, how many are in stock now, and picked out of needed (for example "0 / 6 pcs").
Take the items from the shelf and click Picked on the line. The whole remaining quantity of that line is picked in one go, and the page refreshes.
When the last line is picked, the pick list becomes Done by itself.
What picking does to stock:
An ordinary item is Taken out of stock, with the pick list as reference and "pick" as reason.
A tool on a pick list for a job is Checked out to that job. It stays on the job until it is checked in (see Jobs). A tool on a pick list without a job is simply taken out.
Pick path: the order of the lines
Lines on the pick page are grouped by folder and, within a folder, sorted by item name, so one picker can walk the warehouse once. Folders follow the order in which they were created, not the alphabet. If you create your folders in walking order (hall by hall, rack by rack, shelf by shelf), the pick page follows your pick path.
Figure 2 The pick page groups lines by folder in the order the folders were created, so a folder tree built in walking order gives a one-pass pick path.
Controls and exceptions
No empty lists. A pick list without lines: "Add at least one item to pick." Lines without an item or with a quantity of zero are dropped.
No reservation. Creating a list does not hold stock. Another pick, a count correction or an Update quantity can still take the same stock before the picker gets there.
Not enough on the shelf. "There are only 4 pcs of Gloves size 9." Nothing is picked and the line stays open: the button picks the whole remaining quantity or nothing. Check the shelf; if it really holds more, correct the stock first (Update quantity → Corrected); if it holds less, pick what is there with Update quantity → Taken out and adjust the list, or cancel it and make a new one.
Picked once. "This line is already picked." "This pick list is already finished." (a Done or Cancelled list cannot be picked any more).
Cancelling does not undo picks. Lines already picked stay taken out or checked out. Return stock with Update quantity → Received, or check tools in on the job.
Picking part of a line is possible through the AI assistant or MCP tools (with a quantity); on the page, the Picked button always picks the remainder.
Audit trail. Each pick is a ledger line under the picker's name, with source web, scan or MCP, the pick list or job as reference and "pick" as reason. It shows on the item's History and in Reports → Transactions.
For the manager
Open work: watch lists still in To pick and their Picked column (for example 3 / 5): lines that stay open usually mean stock that is not where the system thinks it is. Count that folder.
Accountability: give each list to one person (Assigned to) and let them pick on a phone at the shelf, not afterwards at the desk, so stock is right at every moment.
Tools in the field: make a pick list for a job whenever tools go out with it. Jobs then show what is still out per job, and a job cannot be closed while tools are out.
Consumption:Reports → Item flow shows what was taken out per item over a period; the Jobs report shows the value used per job.
AI Reports: picks appear in "Inventory movements (Warehouse)" as kind issue or check_out, with quantities and values out per month.
