How to use Warehouse
1. Draw your site
- Go to Logistics → Warehouse → Sites and click Add a site.
- Open the site and click Edit the plan. Draw zones on the grid: stacks for containers, a tank farm, the gate, roads, cleaning and repair bays, parking.
- Give each stack its maximum height (tiers). Each grid cell is 2.5 metres; a 20-foot slot is 2.5 cells long.
- Add your storage tanks in the tank farm with their size, capacity and safe fill limit.
2. Gate a container or ISO tank in
- Click Gate in. Type the container number the App checks the check digit and tells you the right one if a digit is wrong.
- Choose loaded or empty, clean or dirty, and the truck plate. Leave the slot empty to use the first free place.
- Save. The unit appears in the live view and its storage days start counting.
3. Move, clean, repair and gate out
- Move a unit to another zone. A unit with another on top of it cannot be moved until the top one is.
- Services: create a cleaning, heating, repair or inspection order, add the lines, and send the estimate link to the customer for approval.
- Gate out when the truck collects it.
4. Tank operations
On Storage tanks, record receipts, deliveries, transfers and dip readings. The App refuses an operation that would pass the safe fill limit and tells you how much room is left. Weights and density are kept for each operation.
5. Transport
- Create a booking for the customer, then plan a trip with a truck, driver and stops.
- Send the driver the trip link. On the phone the driver marks arrival, loading and delivery and the receiver signs on screen.
- A stop at your own site pre-fills the gate in.
6. Inventory
- Create folders (hall, rack, shelf) and add items with a minimum level.
- Print QR labels and use Scan on a phone: it finds stock items, units and tanks from their barcode, QR label or number, and Read with AI reads the text of any label or document from a photo.
- When stock falls below its minimum, create purchase orders from low stock with one click. Receive them when delivered, then use Record as an expense.
- Count stock with a stock count, pick with pick lists, and check tools out to jobs.
7. Billing
Enter your prices under Rates. Under a client, preview what is due for a period storage, gate moves, services, throughput, tank rent, transport and detention and create the invoice.
8. EDI with shipping lines and tank operators
- In Settings → Warehouse, enter your own EDI id (the code your partners know you by). On each site, add its UN/LOCODE (for example BEANR) and your depot code.
- Go to Warehouse → EDI → Partners and click Add a partner: choose the client that owns the units (or the provider that operates them), enter their EDI id, and choose how they receive messages e-mail, FTP / FTPS, a web address, or download.
- From then on, every gate in and gate out of their units creates a CODECO message in the Outbox. It is delivered within minutes; a message that fails shows why and is tried again automatically. Use Send again after fixing a partner's settings.
The guide
Click Guide on the Sites page (or in the settings). Set up the App with me creates your first site, client, product, unit, tank, prices, driver, truck, trip and stock item, one screen at a time. Start a new cycle takes one unit from arrival through its service and transport to the invoice, and only asks for drivers or trucks when you want to add a new one. Show me around can load a demo yard and explains the process in 10 screens, from the yard plan to your clients, your team and the settings.
9. Dashboard and AI
- Add Warehouse widgets to your dashboard (Edit dashboard → Add widget). For the gate: Gate today, Trucks expected today, Trucks on site (with today's average turnaround), Yard occupancy, Units to check. For the depot manager: Average time in the yard, Tests due, Free time over, Service orders. For the terminal: Tank farm, Throughput this month. For transport: Trips, Bookings to plan, Transport margin. For finance: Top clients on site. For the store: Low stock, Stock value, Tools out on jobs. For IT: EDI messages sent today.
- Ask Marvin about a container, a tank, stock or today's trucks. Ask it to gate a unit in or take stock out it always asks you to confirm.
- Under Settings → Warehouse, choose who gets the monthly inventory snapshot by e-mail.
- Under Settings → Warehouse → Numbering, choose the letters in front of your numbers (for example WO- instead of SO- for service orders, or your own letters for purchase orders, bookings, trips and interchange receipts). Leave a field empty to keep the default.
Work on many rows at once
Lists such as Inventory items, Units, Products, Rates, Drivers, Vehicles and EDI partners have a selection button (the cross-hair) above the table. Choose Select all, or Select specific and tap the rows you want, then Delete selected items. Each row is checked like a single delete: a unit still in the yard stays, and the message tells you why. The button is only there for people allowed to delete. In Inventory items, Batch update moves the selected items to one folder or gives them the same minimum level leave a field empty to keep what each item has. In Gate appointments and Bookings, Batch update applies one action to every selected row: cancel appointments; confirm, put back to draft or cancel bookings; start or cancel service orders; give units to one owner client; change the price of rates by a percentage (for example 3.5 for a yearly increase); mark purchase orders as ordered or cancel them; send planned trips to their drivers and cancel trips; send several EDI messages again (they are queued and go out within minutes); give stock counts and pick lists to one person, or cancel the open ones; check several trucks out at the end of the day; cancel EDI release orders; or close jobs. Storage tanks can be deleted together when they are empty.
