Connected modules and Apps
The Providers App does not keep its own copy of your spending. It reads the workspace's core
modules and adds a supplier dimension on top of them. This page lists what it connects to and
what flows in each direction.
Expenses (core module)
The closest connection. Everything the App reports is built from expenses.
- Provider field on the expense form. While the App is active the Add / Edit expense form shows a Provider select. Opening "Add expense" from a provider's report page pre-selects that provider.
- Provider column in the Expenses list, included in the print and Excel exports.
- Expense date, amount, VAT rates, status, recurring flag and payment mode feed the provider report: net, VAT, gross, still-to-pay, trend, recurring commitment and "how it was paid".
- Ignored expenses (status ignored) are left out of every figure and listed separately.
- Line-based expenses (several lines with their own rates) are summed line by line so the VAT by rate card is exact.
- The "Add the missing VAT" sheet writes back to Expenses: it sets the VAT rate (and splits gross into net + VAT when asked) on every flagged expense of the provider, or marks them all as verified at 0%. Only expenses the user is allowed to edit are touched.
AI document scan in Expenses
- When a receipt or invoice is scanned, NIZU compares the supplier name and VAT number on the document with your providers. An existing provider is selected automatically.
- If nothing matches, the scan proposes a new provider with the legal name (the VIES name wins over the trading name printed on the receipt) and VAT number. Accepting it creates the provider and files it under the same category as the expense.
Expense categories (core)
- Each provider carries a default expense category; the provider form has a "+" button to create a new category on the spot.
- The Providers list can be filtered by category, and the provider report shows spend by category.
- In Belgian workspaces the category title also drives the deductible-VAT caps (cars / fuel at 50%, restaurant / reception at 0%).
Taxes (Settings → Taxes)
- The rates offered in the "Add the missing VAT" sheet come from the workspace tax list; the provider's default rate is preselected.
- Marking expenses as verified exempt uses (or creates) an Exempt (0%) tax so those expenses stop being flagged.
Files and documents on expenses
- Attachments on an expense count as documents on file. Peppol e-invoices attached to expenses are counted separately.
- Expenses with neither are listed under No document, and their input VAT is shown as "at risk" because the deduction depends on holding the invoice.
- Request the invoices opens a mail to the provider's email address listing those expenses (date, title, gross). Without an email address the text is copied to the clipboard instead.
Workspace settings (company country and currency)
- The workspace country is compared with each provider's country (or the country prefix of its VAT number) to classify every expense as Domestic, Intra-EU reverse charge, Import, Exempt, To check or Country unknown.
- All amounts are shown in the workspace currency with the workspace number format.
Peppol e-invoicing
- Each provider can store its Peppol ID (for example
0208:0652933130 for a Belgian company).
- For Belgian workspaces the report flags, from 1 January 2026, B2B invoices that did not arrive as a structured Peppol document, since a PDF alone is no longer the compliant document.
Roles and permissions (Settings → Roles)
- No dedicated permission. The menu entry is shown to administrators; the screens open for any staff user with access to Expenses. Clients cannot open them.
- Correcting VAT on expenses created by other people requires an administrator or a role allowed to edit all expenses.
Not connected (by design)
- Clients — providers are suppliers, a separate directory from the Clients module.
- Invoices, Estimates, Orders — the sales side is untouched; the App only covers what you buy.
