Clients
Clients shows every client that has something with you units in the yard, storage tanks, open service orders or transport bookings as one tile each, so you see at a glance what equipment and product each shipper, tank operator or lessor has with you, what work is open and what needs attention: units on hold, units past their free time, finished work not yet invoiced. It is the account manager's and depot manager's starting point for a client conversation, a month-end billing run or a dispute.
Where to find it: Workspace → Logistics → Warehouse → Clients.
Who can use it
Anyone with View sites, the live yard, units, tanks and movements.
Work not invoiced and open estimates show only to people who deal with money: See prices, revenue and margins, Draft invoices for clients or Make estimates and proposals from Warehouse work. For everyone else those chips are not shown and do not count towards "needs attention".
A role marked under Does not see with Warehouse clients (the clients page and the Warehouse tabs on a client) has no Clients menu entry and no Warehouse tabs on the client page.
Where it sits in the operation
Clients is not a list you maintain. The clients themselves are the workspace's normal clients (the core Clients module). A client appears here as soon as the Warehouse holds something for it: a unit it owns on site, a storage tank it rents, an open service order, an open transport booking, an open hold, a unit past free time or finished work not invoiced. Open estimates alone do not make a Warehouse client. Each figure on a tile is counted live from the same records the operational screens write.
Figure 1 Every counter on a tile is read live from the operational records. The weighted score decides the orange edge and the order of the Needs attention sort: a hold weighs most, because it stops a unit at the gate.
What a tile shows
The client's name and initial, the Units in (units the client owns that are on one of your sites) and, when there are any, the Storage tanks the client rents.
On hold (red): units held by customs, the line, payment or damage.
free time over (orange): units on site whose free time has ended, so storage has started to cost. Free time comes from the Rates per client and line.
Services: open service orders (requested, estimated, approved or in progress).
Bookings: open transport bookings (draft, to plan, planned or on the road).
Work not invoiced (orange): finished service orders and delivered bookings that are not on an invoice yet. Money roles only.
Estimates: the client's estimates still in draft or sent. Money roles only.
A chip is shown only when its count is above zero. A tile with something needing attention has an orange edge. When no client has anything with you yet, the page says No client has anything with you yet.
Find and sort
Type in Find a client to narrow the tiles by name. Sort by Name, by Needs attention (highest score first: holds weigh three, free time over two, work not invoiced one) or by Units in (units plus rented storage tanks, most first).
Open a client
Click a tile: the client's page opens on its Equipment & stock tab, where you can bill a month, make an estimate, proposal or invoice from the work, and see every unit and tank.
On the client's page
The client's own page (in the core Clients module) gets the Warehouse tabs:
Warehouse overview one screen: a sentence saying what is with you ("12 units with us, 2 storage tanks, 5 pieces of work open", plus since when the longest-staying unit is here), then
With us: Units in, Loaded, Cleaning or repair, and Storage tanks with product and fill;
Today: Gate and yard moves, Gate appointments, Transport stops;
Open: Services, Bookings, On hold, free time over with a Needs attention badge when relevant;
Owed, for people who deal with money: Work not invoiced, Not invoiced, worth (the unbilled work priced as an invoice would price it), Open estimates and Unpaid invoices, with an Invoice work button when there is work to invoice and you may make invoices.
The Last moves (the eight most recent movements) close the page.
Equipment & stock units, tanks, Bill a month, documents from work.
Services (Depot module) and Transport (Transport module) the client's service orders and bookings, with the same status tabs as the main lists.
Documents every interchange receipt (EIR) of a gate move of the client's units and every cleaning certificate (ECD) of a finished cleaning, newest first, ready to print.
Figure 2 The tile is a to-do list per client: open it, turn the finished work into a document, and the work-not-invoiced count drops on the next visit.
Controls and exceptions
The tiles are read-only. Nothing is changed on this page; every action happens on the client page tabs or on the operational screens.
The figures are counted when the page opens. Reload the page to see work done since.
Units count for the client set as their owner on the unit. A unit with the wrong owner shows on the wrong tile: correct the owner on the unit card (see Units).
Estimates counts all the client's draft or sent estimates in the workspace, not only those made from Warehouse work.
For roles without money rights, work not invoiced is hidden and left out of the attention score, so a tile may show an orange edge for one person and not for another.
For the manager
Start the day on Needs attention: holds first (units that cannot leave), then free time over (storage you should be billing, and units the client should be collecting), then work not invoiced.
At month-end, walk the tiles with work not invoiced and use Bill a month or Invoice work on each; the Not invoiced, worth figure on the overview tells you what is at stake per client.
Units in per client is your equipment-on-hand per account; combined with the longest here since sentence it flags slow movers and dwell-time disputes before they arrive.
What a client may see of all this itself is controlled by the client portal (My units): never prices, never other clients.
