Write it once, and every new proposal starts from it with the client's name, your company details and the price table filled in by **variables**. ### Create a template 1. Go to **Settings → Proposals** and open the **Proposal templates** tab. (Only administrators can manage templates.) 2. Click **Add proposal template**. 3. In **Use template from**, choose a starting point: - **Your templates**: copy one you already have. - **Ready-made**: IT Consulting, Cloud Infrastructure, IT Support Services, DevOps, Software Development, Cybersecurity, Business Consulting, Branding, Graphic Design, AI Consulting, Logistics and Shipping, Real Estate, Events, Warehousing, Marketing, Coaching, Sports Coaching, Tendering Services and Repair Services. 4. Give it a **Title** (a ready-made template fills it in for you) and save. 5. Click the template in the list to open it in the editor, adapt the text to your business and click **Save**. Every ready-made template has the same strong structure: a cover, the proposal details, an executive summary, the client's needs, your approach, deliverables, the investment (the price table), a timeline, why your company, terms, next steps and the validity date. ### Use a template - **Automatically**: choose it as **Default proposal template** in the **Proposal settings** tab. Every new proposal starts with it. - **For one proposal**: click **Change template** under the proposal's editor. The template replaces the current text, so do this first. ### Variables Variables are tags in curly brackets. In the proposal they are replaced by the real values. The list is shown under the editor as **Available variables**; click one to copy it. | About | Variables | | --- | --- | | The proposal | {PROPOSAL_ID}, {PROPOSAL_DATE}, {PROPOSAL_EXPIRY_DATE} (Valid until), {PROPOSAL_NOTE}, {PROPOSAL_ITEMS} (the price table), {PROPOSAL_SUBTOTAL}, {PROPOSAL_DISCOUNT}, {PROPOSAL_TOTAL_AFTER_DISCOUNT}, {PROPOSAL_TOTAL} | | Your company | {APP_TITLE}, {COMPANY_INFO}, {COMPANY_NAME}, {COMPANY_ADDRESS}, {COMPANY_PHONE}, {COMPANY_EMAIL}, {COMPANY_WEBSITE} | | The client or lead | {PROPOSAL_TO_INFO}, {PROPOSAL_TO_COMPANY_NAME}, {PROPOSAL_TO_ADDRESS}, {PROPOSAL_TO_CITY}, {PROPOSAL_TO_STATE}, {PROPOSAL_TO_ZIP}, {PROPOSAL_TO_COUNTRY}, {PROPOSAL_TO_VAT_NUMBER} | | Custom fields | Proposal custom fields with **Show in proposal** ticked also get a variable. | ### Tips - **Always keep {PROPOSAL_ITEMS}** in a template. It is the only place the prices appear. - Make one template per type of work you sell, and keep the client-specific parts short. - The template set as default cannot be deleted. Choose another default first.
