(Apps: RentOp) - Page: https://dashboard.nizu.io/knowledge_base/view/499-how-to-use-rentop - Part of: [Knowledge base](https://dashboard.nizu.io/knowledge_base/llms.txt) on NIZU — https://dashboard.nizu.io/llms.txt - Updated: 2026-10-25T11:50:03Z ## How to use RentOp RentOp is found in the left menu under **RentOp**: **Dashboard**, **Calendar**, **Bookings**, **Leases**, **Properties**, **Channels**, **Reviews**, **Reports** and **Settings**. This guide follows the order in which an agency usually starts: add a property, price it, connect the channels, open the website, and then run the daily work. ### 1. Add a property A property is a place you rent out: an apartment, a house, a villa, a room. Each property has its own page with the tabs **Details**, **Photos & videos**, **Prices**, **Calendar**, **Airbnb & co**, **Bookings** and **Translations**. 1. Open **RentOp → Properties** and click **New property**. 2. Give it a name (for example *Sea View Apartment*) and choose how it is **Rented as**: *Holiday stays*, *Long-term lease* or *Holiday stays and long-term*. Click **Create and open**. 3. On the **Details** tab fill in *What guests see* (the one-line summary and the description), *Where it is* (address and the **Tourist registration number**), *The space* (guests at most, bedrooms, beds, bathrooms, size, amenities) and the *Rules of a stay* (arrival and departure times, nights at least and at most, cancellation, who cleans). Click **Save details**. 4. Write the key code and wifi password in **Arrival instructions**. They are private: only a confirmed guest receives them, shortly before arrival. 5. On the **Photos & videos** tab drop your photos (JPG, PNG, WebP) and videos (MP4, WebM, MOV up to 300 MB). Drag them to change the order. 6. Pick the picture or video that opens the listing and click the star: **Make this the featured photo or video**. The **featured** item is what visitors see first: on the search card and at the top of the property page. If it is a video, it plays there on a loop, without sound. Visitors who ask their device for less motion see the video's still frame instead. ### 2. Prices and seasons Open the property's **Prices** tab. Under **Normal price** set what a night costs outside any season: the **Price per night**, the **Friday and Saturday night** price (empty = the normal price), the **Guests included**, **Each extra guest, per night**, the **Cleaning fee**, the **Security deposit** (shown to the guest, not charged online), a **Discount for 7+ nights** and a **Discount for 28+ nights**. Click **Save prices**. Then add **Seasons** with **New season**: a name (for example *Summer*), the **First night**, the **Last night** and the price. Every night in that range takes the season price. Where two seasons overlap, the shorter one wins, so a short *August* season can sit inside a long *Summer*. The **Tourist tax** is charged per adult per night. Set the amount for all properties in **Settings → Taxes**; a property with a different city rate gets its own amount on its Prices tab (empty = the amount in Settings). It is always its own line on the price and on the invoice, and VAT is never added on top of it. Use **Try a price** at the bottom of the tab: pick dates and RentOp shows exactly what a guest would pay, line by line the same lines the website, the invoice and Marvin use. With a 7-night stay the line *Long-stay discount (10%)* appears automatically, and with more guests than included the line *2 extra guest(s)*. Prices you change later never touch bookings already made: each stay keeps the price it was booked at. ### 3. Connect Airbnb, Booking.com and Vrbo RentOp keeps **one calendar per property**. Every night that is taken a website booking, a booking your team made, a channel's booking, a night you closed is held once. Channels are connected with calendar addresses (iCal), in two directions. 1. **Calendars we read.** On the property's **Airbnb & co** tab click **Add a channel calendar**, choose the channel and paste the channel's export address (it starts with https:// and ends in .ics). Click **Save and read now**. Where to find it: Airbnb: *Listing → Availability → Connect calendars → Export calendar*. Booking.com: *Extranet → Rates & availability → Sync calendars → Export calendar*. Vrbo: *Calendar → Import & export → Export calendar*. 2. **Calendars we send.** Copy RentOp's address for that channel and paste it into the channel's “import calendar” setting. Each address leaves out the nights that came from that same channel. 3. From now on the channel calendars are read every few minutes: a night sold anywhere is closed everywhere. **RentOp → Channels** lists every calendar with its last read, its events and its clashes; **Read now** reads one at once. **Clashes.** A calendar address only says “taken”, and a channel may sell a night a moment before it hears from RentOp. When an imported booking falls on nights that were already booked, RentOp does not drop either one: it flags a **clash**. You see it on the Dashboard, under **Channels → Clashes** (with *What the channel says* and the *Nights in both*), as a red outline on the calendar, and as a notification. Contact the guest of one of the two stays and move or cancel it. ### 4. Publish and the website When the property is ready, set its status on the Details tab to **On the website** and save. Only properties “On the website” can be booked online. If *A property needs its registration number to go on the website* is switched on in Settings, RentOp refuses to publish a holiday property without its tourist registration number. **See on the website** opens the public page. Your website lives at *your-workspace/rentop*. It opens with a **search** (where, dates, guests) and shows a card per property with its featured photo or video and the price for the chosen dates. Behind the search you can show a **banner**: in **Settings → Website → Banner** choose what goes **Behind the search** *Nothing (plain page)*, *A photo* or *A video* upload it, write the *Title on the banner* and use *Darken the banner* so the white title stays readable on a bright picture. A live preview shows the result before you save. A guest books in a few steps on a phone or a computer: 1. Search, open a property and see its gallery, description, amenities, house rules, reviews and the availability calendar. They pick their arrival and departure days; the price appears line by line. 2. Click **Book these dates**, fill in **Your details**, accept the terms and click **Book and pay**. 3. Pay with **Stripe** or **Mollie** (the methods that have their keys in Settings → Payment methods). The nights are held while the guest pays; a hold that is not paid in time is released for others. 4. The payment is recorded on the stay's invoice, the stay becomes **Confirmed** and the guest gets a confirmation by e-mail with a link to their own booking page. **The guest's booking page.** Every booking has its own private page, linked from every message. There the guest can: - **Pay** what is still open (the deposit or the rest of the stay) “Pay …” opens Stripe or Mollie again. - **Sign the agreement** when the property asks for one: read it, type the full name, tick “I have read the agreement and I agree to it.” - Fill in the **guest list**: name, nationality, date of birth and ID document of every person, as the law asks it saves time at the door. - **Cancel my booking**: the page says first how much comes back under the property's cancellation policy. - **Leave a review** after the stay. Reviews appear on the website after you read and publish them. For a property let **long-term**, the website shows the monthly rent and an “Interested? Tell us.” form instead of a booking. The enquiry becomes a **lead** in your workspace. If you switch on the Marvin chat in Settings → Website, Marvin answers visitors' questions on the website and your team takes over when needed. ### 5. Calendar and daily work **RentOp → Dashboard** (“Today at your rentals”) shows the arrivals and departures of today, who is staying now, the occupancy and revenue of this month, and what needs you: bookings waiting for payment, channel clashes, reviews to check, cleanings still to do, and properties without a registration number. **RentOp → Calendar** is the screen the agency lives in: every property as a row, every night as a column, stays as bars. Use **Earlier** and **Later** to move in time. Striped bars are waiting for payment; a red outline is a clash with a channel. Click a stay to open it. **Bookings by phone or e-mail.** Click **New booking**. In *The stay* choose the property, the arrival, the departure and the guests the price appears as you fill it in. In *The guest* pick an existing client or write the guest's name and e-mail (a new guest becomes a client). Use *Price for the whole stay* only when it differs from the price list, for example a channel's payout. Click **Book and open**: the nights are taken, the invoice is made and the confirmation is sent. **On the day.** Open the stay and click **Check in** when the guest arrives. When they leave click **Check out**: a **cleaning task** is made for the property's cleaner (*Who cleans* on Details), due before the next arrival. Other buttons on a stay: **Change dates or guests**, **Record a payment** (cash on arrival, a bank transfer), **Guest list**, **Did not come** and **Cancel the stay** (the refund under the cancellation policy is proposed, and you can change it). **Close nights.** For the owner's own stay or works, click an empty day on the calendar (or use **Close nights**), choose the range and a reason, and click **Close these nights**. Nights already booked are left alone. **Open them again** frees them. Closed nights are sent to every channel too. ### 6. Long-term leases A lease is a tenant renting a property by the month. Its nights are taken in the same calendar as the holiday stays, so a property let “Holiday stays and long-term” can never be booked twice. 1. **RentOp → Leases → New lease**: the property, the tenant (an existing client, or a new name and e-mail), **Starts**, **Ends** (empty = until notice is given), the **Monthly rent**, **Monthly charges**, the **Deposit**, **Rent due on day** and **Notice (days)**. Click **Save as draft**. A draft blocks and invoices nothing yet. 2. Check the terms and click **Activate**: the calendar is blocked, the first rent invoice is made it repeats every month by itself and the tenant is e-mailed with a link to the tenant's page. 3. Rent invoices appear on the lease under **Rent invoices**. A running lease is locked: only notes and the deposit can change. 4. To stop, click **End the lease**: the nights after the end date become free and no more rent is invoiced. A lease without an end date keeps the calendar blocked a number of months ahead, rolled forward every day (Settings → Channels → *Open-ended leases block*). ### 7. Messages and agreements RentOp writes to guests by itself, at the right moment, in the guest's language once per booking and kind of message: - **Booking confirmation** when the stay is confirmed, with the link to the guest's booking page. - **Balance reminder** when a deposit was paid, before the rest is due. - **Arrival instructions** a few days before arrival: the address, the arrival time and your private arrival notes (key code, wifi). - **Review request** a few days after departure. - **Cancellation** when a stay is cancelled, with the refund. - **Lease welcome** when a lease is activated. The texts are edited per language in **Settings → Email templates → RentOp**. With the WhatsApp Coexistence App, guests who accepted WhatsApp also get the messages there. Every message sent shows under **Messages** on the stay, where **Send a message** sends one again. **Rental agreements.** Tick *Guests sign a rental agreement* on a property's Details tab. In **Settings → Agreements** choose how it is **Signed with**: *On the guest's booking page (name + tick)*, or **NIZU Sign**, which e-mails a PDF to sign with a full audit trail. The texts of the *Short-stay agreement* and the *Lease agreement* take placeholders such as {GUEST_NAME}, {PROPERTY_TITLE} and {CHECKIN_DATE}. The stay shows whether the agreement is signed, by whom and when. ### 8. Reports **RentOp → Reports** has three tabs, each for one month: - **Occupancy & revenue** per property: the stays that arrive in the month, the nights taken (bookings, leases and channels), the occupancy, the revenue and the average night. - **Tourist tax** the guest-nights taxed and the tourist tax collected on the stays that arrived in the month: what you declare to the city. - **Guest register** everybody who stayed, with the details the police registration asks for. Red dashes are missing details. Click **Download CSV** and upload or copy it into your country's portal (for example SES.HOSPEDAJES in Spain, Alloggiati Web in Italy, SIBA in Portugal). ### 9. Settings **RentOp → Settings** has one subject per tab. Each tab saves only what it shows, with **Save changes**. - **General** your *Agency name* (shown on the website and in e-mails), the currency of your prices, whether *The website is open to visitors* (off = visitors see “page not found”), *More website languages*, and the EU rule *A property needs its registration number to go on the website*. - **Website** the *Banner* behind the search (nothing, a photo or a video, its title and how dark it is), the *Welcome line* and *Brand colour*, the contact e-mail and phone, the Marvin *Live chat*, and your legal pages: Terms, Privacy and Cookies (empty = a short standard text). - **Payments** *When guests pay*: everything when booking, a deposit when booking and the rest before arrival, or nothing online; the deposit %, when the rest is due, how long unpaid bookings are held; *Pay with* Stripe and Mollie (each shows whether its keys are ready in Payment methods); and the VAT on stays and on rent. - **Taxes** the tourist tax per adult per night, the age from which guests pay, and the most nights charged (some cities stop after a number of nights). - **Messages** how many days before arrival the arrival instructions go out and how many days after departure the review request goes, a link to the e-mail texts, *Also send on WhatsApp*, and *Make a cleaning task when a guest leaves*. - **Agreements** signed on the booking page or with NIZU Sign, and the texts of the short-stay and lease agreements. - **Channels** how often channel calendars are read, and how many months ahead an open-ended lease blocks the calendar. - **Lists** the *Property types* (apartment, villa, room…) used to filter the website, and the *Amenities* (Wi-Fi, pool, parking…) ticked on each property. The Website tab shows a live preview of the banner. A **photo** should be wide and sharp (at least 2000 px across); a **video** is best 10–30 seconds, MP4 or WebM, without sound. Uploads go in small pieces, so even a large video uploads without a server limit getting in the way. ### 10. Marvin and AI **Marvin**, the NIZU AI assistant, knows your stays and your calendar. Ask it in plain words, in the workspace or on Telegram: - “Who arrives tomorrow?” the arrivals with guest, property and time. - “Who leaves today?” and “Who is staying now?” - “Is Villa Sol free 3–10 August, and for how much?” the availability and the price, line by line, from the same price list as the website. Switch on *Show the Marvin chat on the website* in Settings → Website and Marvin answers visitors on your booking website too. **AI assistants (MCP).** Through **Agents**, an AI assistant connected to your workspace (for example Claude) can use RentOp's tools: read *rentop.properties*, *rentop.availability*, *rentop.quote*, *rentop.bookings*, *rentop.booking*, *rentop.arrivals* and *rentop.leases*, run the report *report.rentop*, and with the right permission *rentop.create_booking*, *rentop.cancel_booking* and *rentop.block_nights*. They use the same calendar and price engine as the website, so an assistant can never double-book. In **AI Reports**, stays, leases and occupied nights are part of “All business data”.
